Melbourne Health selects Kofax capture

Melbourne Health has select Xcellerate IT to streamline the processing of over 300,000 supplier invoices per year, using a Kofax capture solution. Xcellerate IT will deliver an invoice solution that will enable the scanning and processing of supplier invoices integrated with the Oracle Financials system, HealthSMART.

Melbourne Health is one of the major public health care providers in Victoria, with over 8,000 staff across its services and manages more than 1000 beds. With an annual budget of $700 million, Melbourne Health serves a population of nearly one million people living in Melbourne's northern and western metropolitan region and provides a range of specialist services to all Victorians.

Melbourne Health currently receives up to 25,000 supplier invoices per month that are processed in a centralised environment. With consideration of multi pages invoices, this represents in the order of 350,000 pages per annum.

“The manual handling of all the paper documents was slowing down our operations and affecting our best practice policies – says Joe Barbaro, Accounts Payable Manager at Melbourne Health - As a growing organisation with multiple locations situated across a broad area, we were looking for a solution which could support our growth without the need to increase resources”.

After the evaluation of a number of vendors and several onsite visits to other health care providers in Victoria that had previously deployed the Xcellerate IT scanning solution, such as Eastern Health and SouthWest Health Care, Melbourne Health selected Xcellerate IT to design and implement an enterprise capture solution to address their invoice management issues.

“The feedback we received from the reference sites played a major role in selecting
Xcellerate IT as our partner” – confirms Joe.

The invoice scanning solution to be deployed by Xcellerate IT will leverage the Kofax capture platform. The scan module converts paper documents into electronic images, while the recognition module automatically extract the barcode value from those images and renames the image with the barcode value. The release module will place the named image in a predefined location which will enable the link between the image and the voucher within Oracle Financials.
