Hummingbird tunes up its ECM

April 1, 2005: Hummingbird has released a new enterprise content management system that integrates with Microsoft Outlook to provide a tailored service to each enterprise, which involves managing emails, attachments, and other documents, as well as providing reports and analysis.

The Hummingbird Enterprise Client for Microsoft Outlook promises to help workers to interact with all their business content, applications and processes without having to leave the Outlook client interface.

Hummingbird claims that there is a strong need for this, following a survey carried out by the Association for Information and Image Management which found that up to 70 percent of a knowledge worker's day is spent dealing with emails and associated attachments.

Barry Litwin, the president and chief executive officer of Hummingbird, said: "Unlike the traditional integrations available in the marketplace today, Hummingbird Enterprise Client for Microsoft Outlook allows organisations to manage the entire lifecycle of their business content, presenting all the content and business processes in a dynamic view tailored to the organisation's business in the user's role."

The ECM solution can be tailored made to suit the needs of each type of enterprise. For instance, it will help a corporate banker work with a deal management view of business content and help each user collaborate with colleagues on complex, linked company valuation spreadsheets by sharing content in a secure collaborative deal room.

On the other hand, a government employee will be able to deal with all incoming and outgoing correspondence including email, fax and mail through a correspondence management view.

The main features include a Business Solution Framework, which allows each company to organise content in relation to their specific business, with titles such as: Sales Region; Practice Area (or Area of Law); Case.

Emails can be managed and organised through the automatic capture of metadata and set permissions based on pre-defined business rules. This includes a de-duplication service.

Users can search for content on the desktop, in the enterprise and external content through Outlook.

Compliance is taken care of too via a function that ensures compliance by protecting all business correspondence and other relevant content from within Outlook automatically. It can apply corporate retention and disposition policies based on business rules, which saves people from learning a new application or way of working.
