Find Files Quick Smart With RFID

August 17, 2007: After introducing its RFID file tracking system QuickMaps a few months back, FileTrail has announced an update to its FileDetector software to help law firms track down missing files.

According to FileTrail, the latest version of its RFID records management software eliminates manual searches for lost files due to its improved Gen 2 RFID technology and its ability to read tags from up to 72 inches away. Older RFID tech usually struggled to read tags further than 10 inches away.

The company likens the technology to hunting for files like one is “using a metal detector to find lost gold.”

“FileDetector technology is all about finding gold,” said Tom Pemberton, VP of Product Strategy with FileTrail. “Law firms waste a lot of labour searching for file folders - partners would fall over if they ever totalled the cost.”

The company claims the real problem is no one really knows how much time is spent searching for files. It says that while staff members may remember extreme three to four hour frantic searches, the ten or twenty minutes lost here and there are never tallied. FileTrail cites anecdotal evidence to claim six to ten percent of each staff member’s time in a typical law firms is spent on the hunt for missing files.

Aside from offering easier scanning for missing files, FileTrail’s system also enables staff to ascertain who initially requested the file and where they sit in the office so they can begin the search at the last point of reference.

“It is common in large or multi-office firms that staff do not know where everyone sits,” said Tom Pemberton, Vice President of Product Strategy for FileTrail. “Displaying the office location means that staff have everything they need on the screen in front of them to take action.”
